Everyone deserves some time off, and vacations (or staycations) are shown to be a great antidote to burnout. However, it can be difficult to unplug, especially in the age of hybrid and remote work. Use this template to create a plan for when you go out of office (OOO) to give visibility into your projects, list relevant contacts while you’re out, and ensure continuity of any moving pieces. Put the page in your personal or team space to share out leading up to your time off, providing team members a source of truth while you’re away, and you the freedom to enjoy a worry-free OOO.

How to use the out of office plan template

Step 1. Give an overview of your leave

To prepare your team members for when you’re next out of office, write down a quick summary in the TL;DR section with the dates when you’re away and short description so they know what to expect. Ask your team members to watch this page as you make updates leading up to your time off.

Make sure that your team members have context around your current work before you head off and let them know if they need to be involved. In the Current Work section, identify the status of your work, link additional resources, “@” mention relevant stakeholders to ensure visibility, and highlight key dates or milestones. Having this list of moving pieces provides a comprehensive one-stop shop for any information while you’re away, but most importantly, peace of mind knowing that your team has you covered.

In case there are any fires while you’re out, give stakeholders the right contacts to address them. Inform any team members or project partners beforehand, then use the Important Contacts space to “@” mention them for others to reach out to on certain topics in your absence. This helps maintain continuity on projects or work efforts while you’re out.
